FunctieomschrijvingOur client (Maasvlakte Rotterdam) started as a modest rice milling company and has grown into a global food company with a presence in more than 60 countries. They now aim to conquer the European market via Rotterdam. Their factory, spanning over 12,000 square meters, processes rice by removing the husk and packaging it as white rice for consumers.
As an Office Manager, you are primarily responsible for (of course) the Front Office on the ground floor. With your enthusiasm, you greet and welcome guests, guide them to the right colleague or office, and answer all incoming calls or forward them as needed. There is also a second reception where drivers are received. As an Office Manager, you navigate between the two receptions. You ensure that the workspaces look presentable and are equipped with all necessary items such as pens, forms, and brochures. Thanks to you, your colleagues have no worries about various facility matters because you ensure everything is arranged down to the last detail. You do everything, possibly in consultation with the PA (Personal Assistant) and HR Assistant. You manage relationships with suppliers, service providers, and landlords, ensuring all items are invoiced and paid on time (PO issuance and supplier creation).
You are someone who takes charge and enjoys a lot of variety in your tasks. You are flexible and like to take on projects. You get a lot of responsibility and freedom to contribute ideas, so experience in Office Management is required.
Your further responsibilities include:
- Supporting contract and price negotiations with service providers and managing office lease agreements;
- Monitoring office security by following security procedures and controlling access via reception;
- Enforcing clean desk policy;
- Acting as a travel booker for staff (our client operates worldwide with many colleagues traveling back and forth);
- Assisting in meeting the Office Management Budget and budget proposal;
- Ensuring the maintenance of office equipment and necessary repairs;
- Supervising clocking in and out, providing weekly reports, and creating access passes for new employees and temps;
- Covering all areas of office management including layout, reception management, and supplier management.

Wat bieden wij- Salary indication up to €3,500 gross per month based on 40 hours;
- Direct contract with the client;
- Travel allowance of €0.23 per km up to 100 km per day;
- 24 vacation days and 8% holiday pay;
