The administration of the Groups, Meetings and Events are handled by you, the Collections Agent. You are actively engaged in keeping track of all collections in Groups, Meeting & Events and Accounts Receivable. In your role, you are active in the entire process of collections and own tasks from contacting clients to prompt submission of information and problem resolution. You are a dedicated host and a direct link between the clients and the hotel's operational departments.
Reporting to the Director of Finance with a dotted line to the M&E Manager, you are responsible for (among other duties):
Groups, Meeting & Events
- Ensuring signed contracts are on file prior to event start
- Ensure prepayments are made in line with contract agreements and cards are available for residual function payments
- Check all function charges against function lists, external contractor invoices etc
- Checking and submitting accurate final invoices to clients within the 5-day SOP time line
O-Status & Accounts Receivable:
- Checking daily direct bills and sending out invoices to clients
- AR Aging Analysis and follow up on collection by hosting credit meetings and maintaining collections period of 30-days
- Assisting the Finance department where applicable
We are looking for a person with the following experience and skills:
- Do you have experience in a Groups/Meeting and Events position? (previous Front Office or Reservations or Accounts Receivable experience may be considered)
- Do you have experience (non-negotiable) using a PMS e.g. Opera or OnQ? (OnQ is advantageous)
- Are you enthusiastic, passionate and motivated?
- Are you accurate and detail oriented?
- Do you have an organized work style and an eye for detail?
- Do you have a good knowledge of the English language and excellent communication skills?
- Do you have a proactive sales approach towards customers?
- Do you like challenges and are you a positive and optimistic person?
