What you are going to do
Your impact as a management assistant is significant. Within this role, the key word is proactive support. The Head of Corporate Culture & Affairs (CC&A) can rely on a structured day because you manage the agenda, follow up on action points and prepare external meetings. In addition, you act as a coordinator for the team within this unit. You steer the agenda of the bi-weekly team meeting, coordinate the team meetings, including the internal communication on department wide actions, and support in organising team events. When it comes to planning and event administration for external events and the organization of meetings for multiple internal stakeholders you support the Head of CC&A as an assistant and host. You are the go-to person for financial and contract administration and for travel arrangements for the Head and team members.
As a management assistant, you have a versatile role in which you stand firm and anticipate the needs of the management. You will primarily support the Head of Corporate Culture & Affairs, where you will mainly be busy with agenda management, scheduling appointments and follow in up on team action points. Your workday is full of various tasks and contact with team managers, (international) colleagues within the organization, and external relations. That's what makes the work so varied and enjoyable.
Below are your tasks and responsibilities:
Administrative assistance
: Provide comprehensive administrative support to the Head of CC&A, including scheduling meetings, managing calendar, and handling correspondence. Scheduling complex appointments with multiple internal and external participants.Document management
: Maintain and organize critical documents, reports, and project files. Ensure version control and accessibility for the appropriate team members.Invoice and contract administration:
Handling requests for POs, contract signatures and related administration.Meeting coordination
: Arrange and coordinate team meetings, support with scheduling contributions to board meetings, workshops, and support with meetings/events with external stakeholders. Prepare agendas, take minutes, and follow up on action items.OKR support
: Assist in planning, tracking, and quarterly reporting on departmental OKRs (Objectives, Key Results).Event planning and support in communications
: Support in the organization of events, workshops, and other meetings. Support in internal communications and awareness campaigns.IT support
: Provide technical support to the Head of CC&A and team members.HR support:
Supporting various HR-related processes such as onboarding and offboarding personnel, planning the performance management meetings, organizing social team events and organizing gifts/celebrations for special occasions.

Who you will work with
At NN, Corporate Culture & Affairs is a support function that closely collaborates with the People, Communications, and Sustainability domain within the NN Group's Management Board. This domain comprises sub-departments that specialise in specific areas, including Human Resources, Facility Management, Brand Marketing, Corporate Communications, Public and Government Affairs, and Sustainability and Social Impact.
Our team of 7 FTE is situated at the International head office of NN Group in The Hague. We are accountable for a range of disciplines related to the NN Values and Purpose statements, the implementation of NN Future Ready Behaviours (in collaboration with HR and Corporate Communications), driving the Diversity Equity & Inclusion strategy and coordinating stakeholder engagement. We also preserve the corporate cultural heritage and manage the corporate Art and History collections.
We work closely with other stakeholder-oriented departments within Corporate Relations, including Public and Government Affairs, Corporate Communications, Sustainability & Social Impact, and Brand Marketing. Our managers, who all report to the Chief People, Communications, and Sustainability Officer, align activities to ensure that the company speaks with one voice and all relevant messaging is integrated into the broader NN strategic narrative. Our team also collaborates closely with Human Resources, Facility Management, Legal & Compliance and our (inter) national Business Units to coordinate and roll-out joint programmes and initiatives.
