Your Tasks
As an Executive Assistant to the VP Digital Office, you will play a critical role in supporting two VPs by ensuring smooth day-to-day operations, streamlining processes, and facilitating communication across the International Digital Dept. This dynamic role combines executive support, communication management, and event coordination, requiring exceptional organizational skills, digital proficiency, cultural adaptability, and a strong understanding of social media and corporate communications.
Key Responsibilities:
- Executive Support:
- Manage the VPs' calendars, coordinate appointments, and organize travel arrangements.
- Prioritize requests, track key deadlines, and keep the VPs informed of critical updates.
- Communication & Digital Platform Management:
- Oversee internal communication strategies to foster collaboration across the International Digital Dept.
- Manage internal communications on social platforms like SharePoint and Yammer, ensuring timely and efficient dissemination of information to create active engagement of the digital community.
- Draft and distribute team updates, project communications, holiday planning, and announcements.
- Social Media Management & Reputation Coordination:
- Actively manage the VPs' social media presence, ensuring alignment with corporate messaging and public-facing initiatives.
- Coordinate internal and external reputation management, monitoring social media activity and ensuring timely responses to inquiries or comments.
- Collaborate with communications and PR teams to enhance visibility and public perception of the VPs, both internally and externally.
- Event and Project Coordination:
- Plan and execute team events, workshops, and initiatives, managing logistics and follow-ups.
- Collaborate with vendors and internal stakeholders to ensure seamless event delivery.
- Meeting Preparation & Follow-Up:
- Organize meetings, prepare agendas, and distribute materials in advance.
- Document meeting notes, track action items, and ensure timely completion.
- Content Development and Strategic Support:
- Assist in preparing reports, presentations, and communication plans aligned with digital initiatives.
- Support the creation of marketing strategies and project documentation.
Your Profile
To be successful in this job you need to have:
- Language: Proficiency in English (written and verbal). Dutch and Turkish are preferable.
- Skills:
- Strong organizational and time-management abilities.
- Proficiency in digital tools like SharePoint, Yammer, Microsoft Teams, and other collaboration platforms.
- Experience in managing social media accounts and reputation coordination is highly valued.
- Exceptional written and verbal communication skills across multiple audiences.
- Ability to multitask while maintaining attention to detail.
- Solutions-oriented mindset and interpersonal skills.
