The FI sector team has a leading position in providing Financial Markets, Lending, Trade Finance, Payments & Capital Markets and advisory services to Financial Institutions. Clients consist of banks, insurance companies, pension funds, asset managers, trust offices, private equity and fintechs.
The FI sector team manages ING's FI relationships on a global basis. The dedicated FI sector team is crucial for ING as, amongst others, it manages reciprocity envelopes for ING and FI's client base is crucial for Originate to Distribute (OtD) activities.
Your role
We are looking for an energetic, result driven and experienced Personal Assistant for the Global Head of FI. In order to effectively support you need to demonstrate strong time management skills as well as strong communication skills. The challenge in this role is to manage the day to day schedule with great energy and effectiveness, to ensure your manager can focus on the most important and relevant tasks, whilst delegating effectively all other tasks. Ability to achieve good cooperation between people/teams is crucial for the success of this position, you should have excellent interpersonal skills and show orange behaviour in everything you do.
The team & key responsibilities
As a management assistant you support the Global Head of FI and several MT members/Leads. You are part of the Business Management & Support team and you will be the Lead of the secretary team which consists of two other management assistants. Your main responsibilities will be calendar management, planning, organizing and ensuring that the Global Head of FI and MT members/Leads are well prepared for the variety of daily activities including travel. You also have an administrative role in, for example, Workday processes, E-profit, Ibuy, Sayso etc.
Your responsibilities
You schedule and coordinate the (digital) meetings, including preparation of agendas, distribution of meeting documents and ensuring all is done well in advance.
You embrace the new way of working in hybrid mode, but can be in the office for at least two days to deliver the most effective and efficient support
Diary management - On a day to day basis scheduling appointments and pro-actively managing the diary. Assessing priority, sensitivity and purpose of appointments.
Operating a range of administrative activities. Taking care of the administrative handling of new staff/transfers/leavers, support with events, sickness.
Make travel / accommodation arrangements for business trips and seminars/conferences
About you:
You have PA work experience in an international environment
You have strong communicative skills in English and in Dutch
Knowledge of systems such as Workday, Ibuy, Sayso
Good MS Office (Outlook, Excel, Word and PowerPoint) skills
Conscientious, accurate and social/approachable.
Good organizational skills and structured way of working; exceptional follow through, focus and attention to detail
Good problem-solving skills, active listening, time management, continuous learning
A 'can do' mentality, proactive, resourceful and willing to go the extra mile
Excellent interpersonal and networking skills, combined with high cultural sensitivity in order to work in a highly diverse environment
