About the Role:
Studio Olivia Steele is looking for a highly organized, proactive, and dynamic Studio Manager to oversee operations, sales, and creative logistics. You will be the first point of contact for collectors, corporate clients, galleries, and executives, ensuring that everything runs smoothly behind the scenes, efficiently and discreetly.
This is more than a managerial role—it’s a mission. You’ll be the anchor and amplifier of a fast-paced, international studio with a small team, balancing sales, administration, production, and personal assistance to an internationally recognized conceptual neon artist doin’ the Lord’s work.
You’ll act as a trusted right hand—anticipating needs, problem-solving on the go, and creating the space for creative flow by handling the behind-the-scenes essentials. From liaising with clients and vendors to organizing personal and professional appointments, you’ll be the anchor that keeps everything running seamlessly.
The ideal candidate is a European citizen, (US papers are a big plus!) he or she must be an exceptional communicator (both verbal and written) with a diplomatic approach, a great people person, sales oriented, fluent in English and German proficient. They should be highly reliable, intuitive, detail-oriented, and adept at multitasking in a fast-paced, international environment. Also flexible with work hours in the winter and spring months to accommodate for the time difference between LA- Berlin teams. The studio HQ is based in Berlin, with sister studios in Los Angeles and Mexico City.

Key Responsibilities:
1. Studio Operations & Administration
• Act as the face of the studio, representing the artist in professional settings.
• Manage email correspondence, client communications, and daily inquiries.
• Research locations, hisotry , partners, vendors, solutions, materials etc..
• Maintain digital and physical filing systems (Dropbox, ArtButler, archives)
• Oversee studio organization, including supplies, maintenance, and cleaning services.
• Handle contracts (NDAs, consignment, loan, and sales agreements).
• Troubleshoot technical and logistical challenges.
2. Project & Production Management
• Oversee production timelines from concept to installation.
• Obtain quotes, coordinate vendors, and assist in production budgeting.
• Maintain project and event calendars, ensuring deadlines are met.
• Manage and coordinate employees and freelancers.
3. Event Production & Hosting
• Plan and coordinate international exhibitions, pop-ups, and special events.
• Handle event logistics, venue coordination, and sponsorships.
• Supervise installations, breakdowns, and on-site activations.
• Host and represent the studio at events, ensuring an engaging experience for collectors and collaborators.
4. Client, Gallery & Press Relations
• Act as a key liaison for corporate partners, brands, collectors, and galleries.
• Conduct studio visits, calls, and meetings independently to pitch projects.
• Draft and refine press materials, artist bios, pitch decks, and newsletters.
• Assist in managing the studio’s social media inbox and communications.
5. Financial & HR Management
• Oversee invoicing, payment schedules, petty cash, and budget tracking.
• Handle bookkeeping, expense reports, and freelancer contracts.
• Ensure team alignment on project goals and deadlines.
6. Personal Assistance
• Manage the artist’s schedule and appointments.
• Provide reminders and structure for day-to-day responsibilities.
• Anticipate needs and support the artist’s workflow with seamless organization.
Qualifications & Skills:
• Experience: 2+ years in a similar role (artist’s studio, gallery, art institution, or event production)
• Languages: Expert in English (essential); German proficient, (Spanish is a plus!)
• Communication: Strong verbal and written skills with a professional, eloquent diplomatic approach.
• Financial & Legal Acumen: comfortable with bookkeeping, contracts, and budget management.
• Event & Production Experience: Familiarity with exhibition planning, art installation, and event execution.
• Tech Savy: familiar with ArtButler (or similar), Abode Suite, Canva, Keynote presentation design skills is a must.
• Marketing knowledge—familiarity with brand positioning, voice, social media engagement, newsletters, and content strategy.
• Organizational Abilities: Exceptional multitasking, problem-solving, time management and structured workflows are second nature to you.
• Flexibility: Willingness to travel and adapt to an ever-changing, creative workspace with a Find A Way Or Fade Away attitude
