We are seeking a temporary part-time office manager and executive assistant to join our Berlin office. This position is a 15-month parental leave coverage, starting in September 2024, with the possibility of extension. The position is suitable both for self-employed work on an hourly basis as well as for part-time employment.
As an office manager and EA, you will organize and coordinate administrative tasks and office procedures. You will be responsible to create and maintain a pleasant working environment for approx. 8 employees and ensure an excellent level of organizational effectiveness, communication, accuracy and discretion.
You will work closely with our New York office and support the executive team to ensure that all administrative, clerical and personal tasks are completed on time and flawlessly. You must have excellent time management skills and be able to act independently and proactively without instructions. The ability to multitask is imperative.
Must: Excellent German (native level) and English language skills. 3-5 years of experience in a similar position (especially in administration and accounting). Berlin-based.
Knowledge and affinity of art is a plus.
Responsibilities, office management:
- Finance and Accounting in cooperation with our Finance department in New York
- Coordinating all tech issues and changes for our Berlin office with Tech team
- General office management for our office in Berlin (keeping track of all insurance and legal communications, sending and receiving mail, etc.)
- Supporting the executive team in organizing the annual shareholders meeting

- Point person and close collaboration with tax accountant
- Mailing
- Keeping track and managing insurances in collaboration with insurance broker
- Management of art collection (Selling/buying art, shipping, managing the artwork inventory)
